Booking Terms and Conditions for the hire of the facility

 

General - All persons or organisations hiring any of the facilities at the Henry Thirsk Amenity Centre are subject to the following Terms and Conditions for the hiring, a copy of which will be provided with the booking confirmation;

 

  1. The hirer must be a paid up member of Pocklington Sports & Social Club. The hirer is responsible for providing a list of all guests who are not members of Pocklington Sports & Social Club so that they can be assigned temporary membership in accordance with Pocklington Sports & Social Club Rule 11 (c).

 

  1. All bookings / hirings must be made through the Social Club Steward. 

 

  1. A responsible adult over the age of 25 years of age must be in charge on the premises for the duration of the booking.

 

  1. A deposit of 50% of the agreed booking fee must be paid at the time of booking. Should the deposit not be received and another party wish to book the facility on that date, the committee reserves the right to change the booking to the other party. The hiring fee balance due must be paid 7 days prior to the booking. Receipts will be provided by email for all payments. 

 

  1. Organisations and groups wishing to book the club facilities are required to provide evidence of their public liability insurance at the time of booking.

 

  1. Organisations with participants under the age of 18 wishing to book the club facilities are required to provide evidence of their Child Protection Policy at the time of booking.

 

Social Room Hire

 

  1. Setting and clearing up times before and after the event must be agreed at the time of the booking. The person or group hiring the facility must remove all of their possessions in a timescale that is as reasonably practicable at the completion of the hiring, in order that the room can be made ready for the next function.

 

  1. Alcohol is not permitted to be brought onto the premises by the hirer and/or their guests.

 

  1. The hirer must confirm if they require the use of our kitchen at the time the booking is made. All Social club crockery, utensils and pots etc that are used must be cleaned by the hirer and put back in the appropriate storage area.

 

  1. Children under the 10 years of age are not permitted to use the kitchen due to the terms of our Public Liability Insurance. If you do allow underage children access or use of the kitchen, it is at your own risk.

 

  1. To comply with the Food & Hygiene Safety Act, by accepting this following condition, the Hirer hereby indemnifies the Pocklington Sports & Social Club Committee against any claims, losses or injury caused by the consumption of food prepared either in the Social Room or by any food (prepared or otherwise) brought into the Social Room by the Hirer or a Third Party authorised by the Hirer.

 

  1. No posters or notices should be fixed to any walls within the facility without permission being sought from the Social Club Steward. Thumb tacks are not permitted on any wall but may be used on the noticeboards.

 

 

 

Booking Terms and Conditions for the hire of the facility (cont.)

 

  1. You are required to report any damage caused or found to the Social Club Steward. If you or your Group causes accidental damage you are asked to report it as soon as possible. Reasonable costs to repair any damage caused may be charged to the user of the facility. Any accident which results in injury to any person using the Social Room during a booking must also be reported to the Social Club Steward immediately.

 

  1. Please remember that this is a residential area and give due consideration to keeping noise to a minimum when leaving the clubhouse and facility after your booking.

 

  1. All vehicles are parked at their owners own risk. No liability for damage will be accepted by the club.

 

  1. Emergency exits must be kept clear at all times to ensure safe evacuation in emergencies.

 

  1. The Pocklington Sports & Social club house is a non-smoking or vaping building. There is an identified and designated vaping / smoking area adjacent to the main entrance specifically for this purpose. Failure to comply with this policy could result in the cancellation of your booking.

 

16. The hirer is responsible for ensuring that all rubbish, empty bottles etc. are cleared up from any rooms used during the hiring of the facility. The hirer shall at the end of their designated period of use of the facility, leave it in a clean and tidy condition and make good any damage caused by the hirer’s guests, at the hirer’s expense unless otherwise agreed in writing with the Club.

 

Current scale of charges - as at February 2025;

 

Room hire;      £20 per hour (if the bar takes less than £750)

£10 per hour (if the bar takes more than £750 but less than £1200)

Free if the bar takes over £1200.

 

In addition to the above, a refundable deposit of £25 will be taken as part of the hiring fee as an indemity against potential damages or additional cleaning costs.

 

 

 

The above terms, conditions and prices are subject to revision at any time.
